• Service providers: We use Squarespace (website and commerce), DocuSign (electronic signatures), and Google (email and document management). These providers process data on our behalf under their own privacy frameworks. We do not authorize them to use your data for any purpose beyond providing services to us.
• Legal obligations: We may disclose information if required by California law, a court order, or to protect the safety of a child or other individual.
• Emergency situations: In a medical emergency, we may share your child’s health information and emergency contacts with first responders or medical providers as necessary.
6. Health & medical information
Health and medical information (including vaccination records, allergy information, and medications) is treated with the highest level of confidentiality. This information is:
• Stored in access-restricted digital files accessible only to the Director
• Shared with session facilitators only on a need-to-know basis for that child’s safety
• Never shared with other families, third-party marketers, or non-essential staff
• Retained for the period required by California regulations and then securely destroyed
While The Salty Sunflower Nature Collaborative is not a HIPAA-covered entity, we apply the same care and security standards to health information that HIPAA requires of covered entities.

We take reasonable and appropriate technical and organizational measures to protect your information, including:
• Access controls: Sensitive participant files are stored in password-protected systems with access limited to the Executive Director
• Encrypted transmission: Electronic forms and documents are sent and received via DocuSign, which uses industry-standard encryption
• Secure storage: Physical documents are stored in locked files; digital records are stored in a private, access-controlled cloud environment
• Staff obligations: All staff and educators with access to participant information are bound by a signed NDA and confidentiality agreement
• Minimal collection: We collect only the information we need and do not retain it longer than necessary
8. Data retention
We retain participant records for as long as required by California regulations and no longer. Health and emergency contact information is retained for the duration of your child’s enrollment and for a minimum of 4 years thereafter per state licensing requirements. After the required retention period, records are securely deleted or shredded.
